How should dealers arrange detergent reorders before handing over a wash cabinet?

A closed graphite garment cabinet beside a countertop with a plain capped bottle.

Reused AI-generated consumables-planning concept. The plain bottle is a generic prop, not the specified detergent packaging or a refill instruction.

A cabinet has been delivered and the first demonstration is complete. The customer has one bottle of detergent, but no clear answer about where to buy the next one. When supplies run low, they send a photograph to the salesperson and wait.

A dealer can settle that question during handover. Give the customer the correct product identification, a working reorder route and an honest account of local availability. That is a useful service difference a buyer can check before placing an equipment order.

Identify the refill the customer should order

LINGCHONG's LC-308 uses its specified detergent, which the cabinet draws and dilutes automatically for washing. Keep that identification with the machine's operating instructions. The current product page includes the detergent description and a link to the user manual.

Show the customer the supplied packaging and record the exact product reference confirmed for their machine. If the supplier has not assigned a product code, ask for a written description and a reference photograph. A vague instruction to buy “cabinet detergent” leaves too much room for a mistaken order.

Photograph the label clearly enough to read. Keep any batch or expiry information visible where the packaging provides it, and follow the product's storage instructions. Do not invent a shelf life or put an unlabelled liquid into a spare drinks bottle.

Automatic dosing controls the dispensing step. Customers still need a clear instruction about which refill to use. If they ask about another detergent, refer that specific product to the supplier before use. Similar colour, fragrance or bottle size does not establish suitability.

Give the customer a route that works locally

The salesperson may have arranged the first bottle with the cabinet shipment. Later orders need their own contact and delivery arrangement.

Confirm who receives a refill order in the customer's country. Ask whether the product is held locally, ordered from a distributor or supplied from the factory for that particular market. These arrangements can differ. State the actual supply position when handing over the equipment.

If availability is still being checked, name the person who will confirm it and agree when the customer should expect that update. Keep delivery timing provisional until the responsible supplier has confirmed the destination and transport arrangement.

For a hotel or apartment operator, also identify who can approve a consumables purchase. The employee using the cabinet may not have access to the purchasing account. Giving both people the same reorder details avoids sending the first urgent request to someone who cannot place the order.

Leave this refill card with the operating instructions

Complete the following card with the customer. Blank fields are questions the dealer still needs to resolve; a brochure cannot fill them.

Refill detail What to record at handover
Equipment Model and order or serial reference used by the supplier
Correct detergent Confirmed product name or code, plus a readable packaging photograph
Instructions Current manual link and the supplied detergent's handling and storage directions
Ordering contact Named business, contact person and the agreed way to place an order
Supply position Confirmed local stock, supplier order required, or availability still being checked
Delivery arrangement Destination, any confirmed delivery estimate and who will confirm the remaining details
Customer responsibility Who checks the supply and who can authorise the purchase
Backup contact Who takes over if the main ordering contact is unavailable

Keep one copy with the customer and another with the dealer's order record. Send a revised card when the confirmed product reference or ordering contact changes. A readable photograph on a phone is useful, but the information should also remain accessible if the original salesperson leaves.

Set the first check from actual use

Do not turn a bottle estimate into a guaranteed reorder interval. A family using the cabinet occasionally and a property running it more often will need different arrangements.

Agree who will check the available supply using the method in the current instructions. During early use, record the detergent received, subsequent refills and the cabinet's actual use. Use those observations with the supplier's confirmed replenishment time to decide when to request the next order.

If procurement needs a planning figure before there is a usage record, ask the supplier for a stated assumption and keep it separate from measured consumption. Review it once the customer has used the cabinet. The customer should know which figure is an estimate.

Include the refill route in the buying decision

Buyers can ask each dealer to complete the ordering-contact and supply-position rows before signing. A local supplier who can confirm those details gives them something concrete to assess alongside the equipment.

Dealers can make the same card part of their handover check. Before leaving, ask the customer to identify the correct refill and show how they would order it. If either answer is unclear, finish that part of the handover before the first bottle becomes an urgent purchase.
